RFP RESPONSE · PREPARED FOR PHOENIX SENIOR LIVING · JULY 2026

The next phase of the Wingspan partnership

So this proposal is about where PSL goes next — not about getting up to speed. You asked for a partner that leads its peer set as discovery shifts toward answer engines.

So we did not send a PDF. Nine chapters, all sixty-two RFP questions answered in place, and an assistant that will answer anything we did not anticipate.

01 Briefly describe your firm's history and background.Formed by the merger of Wingspan Integrated Marketing and Right Place Media; roughly 500 senior living communities today. ANSWERED +

WingspanRPM was formed through the merger of Wingspan Integrated Marketing and Right Place Media, uniting experience in strategic marketing, digital media, creative services, PR, website development, analytics and recruitment marketing around one shared philosophy: marketing should be accountable to measurable business outcomes.

Today we are one of the nation's most established agencies with deep roots in the senior living vertical, supporting approximately 500 communities alongside clients in healthcare, hospitality, food and beverage and convenience retail. That specialization gives us real insight into occupancy growth, resident acquisition, brand reputation, and the operational realities community leaders face daily. Fifty employees and growing, across offices in Louisville and Lexington, Kentucky.

02 Provide details of your firm's size, financial status, and stability.Fifty employees, 800+ businesses, work in 40+ states — independent by design and debt-conservative. IN PROGRESS +

Fifty employees and growing, supporting more than 800 businesses from small towns to large DMAs, including work in over 40 states. Independent by design and debt-conservative.

STILL TO ADD

Audited financial detail, provided to PSL under separate cover with the formal submission.

03 What services do you provide in-house, and which (if any) do you deliver through partners?Everything in-house under one account team. Partners are named, managed, and still our responsibility. ANSWERED +

Everything below runs in-house, under one accountable account team that is your liaison for all agency services. Where a specialist partner adds genuine value — production crews at scale, PR distribution networks, Further's conversational layer — we name them, manage them, and stay accountable for the result.

04 How does your firm get to know your client and truly understand our philosophies, our communities, and our team?Structured discovery into the operation first — culture, sales process, and the frontline associates. ANSWERED +

We learn the operation before we touch the marketing. The best marketing is built on operational understanding — not assumptions.

Structured discovery

Culture, business objectives, operations, competitive positioning, sales process, resident profiles, and what makes each community distinct.

Cross-team collaboration

Working directly with executive leadership, sales, operations and community teams to define what success actually looks like. You won't catch us saying "no" to a meeting invite.

Frontline insight

Some of our best insights come from frontline associates — the people closest to residents and families every day.

Partnership beyond the contract

Site visits, sponsorships, in-person meetings, QBRs, annual planning and ongoing collaboration with community, regional, investor and corporate teams.

05 What differentiates your firm from others? We start with occupancy, not channels. Seven years is the average client relationship. ANSWERED +

The six points above, in one sentence: we are a senior living specialist with an integrated team, community-level planning, proprietary occupancy reporting, direct media buying scale, and AEO already in production rather than on a roadmap.

The differentiator that matters most is where we start. We begin with occupancy, retention and organizational growth — not channels or tactics. Our goal isn't to deliver marketing services; it's to become the growth partner behind stronger occupancy, stronger brands and stronger business performance. And seven years of average client tenure is the clearest proof we can offer that it works.

47 How many years of experience does your firm have serving senior living, healthcare, hospitality, or comparable multi-location consumer brands?350 combined years across the team, with senior living as a continuous core vertical. ANSWERED +

Three hundred and fifty combined years of marketing experience across the team, with continuous senior living work as a core vertical and parallel depth in healthcare, hospitality, food and beverage, convenience retail, financial services and higher education. Seven years is the average client relationship — in an industry where agency reviews run on three-year cycles.

48 Can you provide examples of senior living or comparable clients you have worked with?Twelve senior living operators, plus multi-location consumer brands from Arby's to Books-A-Million. ANSWERED +

SENIOR LIVING

Phoenix Senior Living · Wickshire Senior Living · Navion Senior Solutions · Village Park Senior Living · Galerie Living · True Connection Communities · Blake Management Group · Morning Pointe · St. George Village · Atria Senior Living · Ciel Senior Living · Legacy Senior Living

MULTI-LOCATION, CONSUMER-FACING

49 What unique opportunities and challenges have you identified in marketing senior living, and how do your solutions address them?A long, mostly invisible funnel — and almost nobody in the category is measuring it yet. ANSWERED +

The decision is rarely made by the resident alone, rarely made quickly, and almost never made from a single source.

Adult children research for months across search, review sites, referral networks and now AI answers — then call a community that had no idea the journey was happening. Our answer is to instrument the whole journey: call intelligence to hear what families actually ask, persona-level AEO tracking to see where PSL is and is not recommended, and CRM attribution that connects a February search to an August move-in. The challenge is that the funnel is long and mostly invisible. The opportunity is that almost nobody in this category is measuring it yet.

CHAPTER TWO · DIGITAL STRATEGY & BRAND POSITIONING

Standards are set centrally. Voice is built locally.

Every piece of content passes through both filters. Here is the footprint that has to hold it — and where PSL goes next.

↓ SET CENTRALLY — HOME OFFICE LAYER

One source of truth

  • Unified standards across 10 PSL sub-brands — The Phoenix, The Retreat, The Pearl, The Neighborhood, The Bungalows, The Lodge and more
  • Messaging frameworks deployed across 54 active communities in AL, GA, KY, TN, SC, MO, AR, FL, NC and MS
  • Competitive benchmarking across every PSL market, from metro Atlanta to rural western Kentucky
  • Centralized reporting across $127K+/mo gross spend and 65+ active campaigns

↑ BUILT LOCALLY — COMMUNITY LAYER

Fifty-four real voices

  • Local stories and care team voices — from Bungalows at Chesterfield Village, MO to Retreat at Lady's Island, SC
  • Community-level review and reputation management tailored to each local competitive set
  • Local SEO and GEO tuned by market — Hopkinsville, KY searches differently than Braselton, GA or Fort Walton Beach, FL
  • Flexibility to reflect local culture — a Bungalow in Nevada, MO tells a different story than a Retreat in Beaufort, SC

RFP QUESTIONS ANSWERED IN THIS CHAPTER

06 How would you approach positioning PSL as a national brand while preserving local, community-level excellence and identity? Two layers, one filter each: standards flow down, local authenticity flows up. ANSWERED +

National brand, local voice — as a governance model, not a slogan.

The two layers above are the answer: standards flow down from the home office, local authenticity flows up from the community, and anything carrying a PSL logo passes through both filters. Positioning PSL as a category leader nationally does not require flattening 54 communities into one voice — it requires a system where the national promise is consistent and the local proof is specific.

TOP OF FUNNEL

Always-on brand demand at the home office layer.

ALWAYS-ON SPECIALTY

Care-level campaigns running continuously at both layers.

SEASONAL PUSHES

Community-level pushes timed to local demand cycles.

HIGH-IMPACT INCREMENTAL

Lease-up, repositioning and announcement pushes, scoped when needed.

07 Describe your process for developing brand strategy and messaging that scales across 50 plus communities.Insight-led discovery, a brand architecture document, flexible toolkits, and QA that scales. ANSWERED +

Insight-led, collaborative, structured — and designed to be implemented. Grounded in discovery, stakeholder input and evidence; structured yet flexible, allowing alignment and iteration at each phase, so the brand ends up usable, scalable and sustainable rather than admired in a deck.

01 · INSIGHT-LED DISCOVERY

Competitive positioning audit, market-by-market data and audience segmentation — through Occulytics, first-party analytics and CRM data, social listening, and stakeholder interviews and pulse checks at home office and regional level within quarterly and annual business reviews.

02 · WHAT IS ESTABLISHED

A brand architecture document defines voice, messaging pillars, terminology and channel-specific tone. This is the source of truth every item carrying a PSL logo gets checked against. WingspanRPM acts as your brand stewards.

03 · WHAT FLEXES

Centralized production and toolkit with community input: flexible templates, style guides and approved asset libraries so execution never requires reinvention. Content still starts locally or at the home office level.

04 · WHAT SCALES

QA, every time: human review plus agentic. Proofreading agents are built into our project management tool as an extra set of eyes. When a rule changes — a new format, standard or term — we update the rulebook once and it takes effect everywhere.

08 How do you balance home office brand consistency with the authentic, local voice of individual communities?Fix voice, pillars and terminology centrally. Leave the storytelling local. ANSWERED +

By deciding in advance what is non-negotiable and what is deliberately open. Voice, pillars, terminology and channel tone are fixed at the home office. Which resident to spotlight this month, which local event to cover, how a Hopkinsville care team talks about itself — that stays local, guided by monthly prompts rather than approvals.

The mechanism that makes it hold is governance, not policing: templates and approved asset libraries so the easy path is also the on-brand path, plus a QA pass — human and agentic — before anything with a PSL logo publishes. Consistency is a system property. It shouldn't depend on anyone remembering the rules.

CHAPTER THREE · WEBSITE DEVELOPMENT, AEO & SEO

Built to be cited. Not just ranked.

Architecture and content built for traditional search and AI answer engines at the same time, with conversion-focused UX layered on top — so visibility becomes inquiries, not impressions.

SCHEMA BAKED IN, NOT BOLTED ON

Plugins retrofit generic schema after the fact. We build it into the theme's DNA.

The same content fields render the page and generate its structured data. Structured data generated by the site itself can never fall out of date.

Q32 · TECHNOLOGY & PLATFORM PARTNERSHIPS

The stack we already run for senior living operators.

CRM, conversational, reputation, resident experience, market data and outbound — connected rather than collected. Every platform here is one we operate in production today, and Yardi and Further are already part of PSL's environment.

RFP QUESTIONS ANSWERED IN THIS CHAPTER

09 Describe your approach to designing and developing a website (or network of microsites) optimized for both SEO and AEO.One structured content model rendering both the brand site and 54 community microsites. ANSWERED +

A brand site plus community microsites rendered from one structured content model — the schema architecture shown above. On top of that foundation, four decisions do most of the conversion work:

01

Utility bar, your guiding light

A persistent bar keeps families oriented and one tap from the main site, even deep inside a community microsite.

02

A smarter community finder

Search and map to find the right community by location, care type and availability, with an auto-located "nearby" widget.

03

Improving conversion quality

Multiple, intentionally placed, friction-free ways to book a tour or ask a question from any page.

04

A brand-level resource hub

Guides that answer every persona's questions, building topical authority for both search and AI.

10 Specifically, how do you optimize for Answer Engine Optimization? What techniques make content surfaced and cited by AI answer engines?Schema, entity optimization and FAQ systems — plus tooling that reads the site the way an LLM does. ANSWERED +

01

Structured data & schema

Markup that makes community, care level and service information machine-readable.

02

Entity optimization

So answer engines associate Phoenix Senior Living with the topics it should own.

03

FAQ & Q&A systems

Content built specifically to be surfaced and cited in AI Overviews, Claude, ChatGPT, Perplexity and Gemini.

04

Technical fundamentals

Site speed, Core Web Vitals, crawlability and indexing across 50+ distinct markets.

HUMAN INTELLIGENCE · OUR PEOPLE

Industry experts analyze data trends, tie actions to the full user journey, then translate findings into move-ins. Proven SEO fundamentals — rankings, local search, content strategy — stay core, alongside a dedicated GEO practice covering structured data, content architecture and AI readability.

ARTIFICIAL INTELLIGENCE · OUR TOOLING

Tooling that audits the site the way large language models actually read it, scores AI optimization, schema quality, structure and metadata, deepens competitive analysis, and re-tests after launch so every improvement is measurable.

12 Describe your approach to local SEO across many distinct markets. One local SEO framework, instantiated 54 times and tuned market by market. ANSWERED +

One local SEO framework, instantiated 54 times. Each community gets its own entity, structured data, Google Business Profile discipline, review posture and keyword set — tuned to its actual competitive set rather than a national average.

Markets do not search alike. Hopkinsville, KY searches differently than Braselton, GA or Fort Walton Beach, FL, and the referral mix differs even more. We benchmark market by market, then let the framework flex on keywords, content emphasis and local proof while the structure and reporting stay identical — which is what makes 54 markets manageable rather than 54 projects.

13 How do you ensure accessibility (ADA / WCAG) for a senior-focused audience and their adult-children decision-makers?WCAG built into the template layer, not bolted on with an overlay widget. ANSWERED +

ADA and WCAG conformance appropriate for a senior audience, built in from the template layer rather than patched with an overlay widget: real contrast ratios, generous type, keyboard and screen-reader paths, labelled forms, and touch targets sized for imprecise taps.

Design and content are also tested with the adult-children decision-makers in mind, who are usually the ones filling out the form on a phone between other obligations. Accessibility audits continue as the site evolves — it is a maintenance commitment, not a launch checkbox.

14 Which CRM and marketing-automation platforms do you work with, and how would you integrate lead capture and nurturing for PSL? Yardi is PSL's CRM.Yardi as system of record, HubSpot for automation, Further as the conversational layer. ANSWERED +

Lead capture and routing integrated with Yardi, with automation-powered nurture workflows at both the corporate and community level and real-time, accurate attribution written back into the CRM.

CRM

Yardi (PSL's system of record), HubSpot, Salesforce, and senior living-specific platforms. Preference is driven by integration depth and flexibility for design and workflows — not by a reseller relationship.

AUTOMATION & EMAIL

HubSpot is our preferred automation platform for nurture and lead scoring; we also work in Salesforce Marketing Cloud, Mailchimp and Klaviyo. For PSL, HubSpot-driven scoring routes the right lead to the right community team.

CONVERSATIONAL

Further (talkfurther.com) sits on the site as the conversational capture layer. We have scoped integration paths with Further's team so inquiries land in Yardi with source intact.

21 Which CRM platforms have you integrated with? Please indicate experience with senior living-specific CRMs.Yardi most of all, plus HubSpot and Salesforce. Senior living CRM work is routine for us. ANSWERED +

Yardi is the senior living-specific CRM we work in most, including for PSL today. Alongside it we have integrated HubSpot and Salesforce, plus platform-side connections into Google, Meta, CallRail and Further. Because roughly 500 senior living communities sit in our book of business, senior living CRM work is routine for us rather than a first-time engineering exercise.

23 Which marketing automation and email platforms have you implemented? Which do you prefer?HubSpot preferred — chosen on integration depth and workflow flexibility, not a reseller deal. ANSWERED +

We have implemented HubSpot, Salesforce, Yardi-native communications, Mailchimp and Klaviyo. Our preference is HubSpot — chosen on the strength of its integrations and the flexibility it gives us on design and workflow logic, which matters when the same nurture has to work for 54 communities without 54 rebuilds. For PSL we would run HubSpot-driven automation and lead scoring alongside Further and Yardi, with a small MQL automation test scoped for potential activation in Q4 2026 / Q1 2027.

29 Describe your general approach to integrations — APIs, webhooks, and middleware.Native APIs first. Middleware only where no native path exists. ANSWERED +

Native APIs first, middleware only where a native path does not exist, and webhooks or custom connectors for the gaps. In practice that means direct API work across CRMs, Google, Meta, CallRail and Further, with middleware reserved for orchestration rather than load-bearing logic. For PSL, integration scoping runs directly with Further's team so the conversational layer and Yardi agree on what a lead is.

30 How do you document integrations and ensure they remain stable over time?A living wiki per integration: owner, endpoints, credential custody, test cadence, rollback. ANSWERED +

A living wiki entry per integration: purpose, owner on both sides, endpoints, credential custody, test cadence and rollback path. We test our integrations and our partners' — including Further's — on a schedule rather than waiting for a lead to go missing. When something breaks, the document tells whoever is on it what "working" looked like.

31 What happens to our integrations if we change agencies or underlying vendors in the future?Everything is provisioned in PSL's name. You keep it. There is no hostage layer. ANSWERED +

Integrations don't stay because we built them.

Accounts, properties, tags, tracking numbers and connectors are provisioned in PSL's name from day one, and the documentation lives with the client relationship. If PSL changes agencies or vendors, you keep the plumbing and the record of how it works. There is no hostage layer, and no part of this proposal depends on one existing.

32
33
34
Technology and platform partnerships, certification levels, the client benefits they create, and disclosure of any reseller, referral or affiliate relationships.Google and Meta certifications held today; full partner tiers and disclosures still being finalized. IN PROGRESS +

Team members hold industry certifications in Google Ads, Google Analytics and Meta Blueprint. We invest in continuous education because market changes outpace certification updates — the team stays current through certifications, peer learning, industry conferences and trainings. We buy media direct rather than through middle layers, which is the structural reason our recommendations can follow the KPI.

STILL TO ADD

The full partner list with certification tiers (Q32); how each partnership translates into tangible PSL benefits such as dedicated support, early access, preferred pricing or co-op funds (Q33); and a written disclosure of any reseller, referral or affiliate relationships and financial interests (Q34).

What this reveals: which personas already see PSL recommended by AI and where content needs to close the gap. Instead of looking at all users together, it breaks behavior down by persona — and we track citation share and presence within AI-generated answers directly, alongside traditional rankings and organic traffic.

RFP QUESTIONS ANSWERED IN THIS CHAPTER

11 How do you measure AEO performance and visibility within AI-generated answers?Citation share and presence inside AI answers, tracked weekly by persona and by engine. ANSWERED +

Directly, using the heat map above. We track citation share and presence inside AI-generated answers across Google AI Overviews, ChatGPT, Perplexity and Gemini, segmented by persona, alongside traditional rankings and organic traffic. We already ran this analysis on Phoenix Senior Living — the raw output is in Chapter Seven.

CITATIONS

Every domain an AI cited while answering the audit prompts — so we know who is being quoted instead of PSL.

CONVERSATIONS

The raw data: each prompt every persona asked, the answers generated, the brands recommended and the citations behind them.

MOVEMENT

Weekly re-tests, so a content or schema change can be tied to a change in how PSL appears rather than assumed.

15 AEO is evolving rapidly. How will you keep PSL ahead of its peers as discovery shifts toward AI answer engines?Weekly persona tracking, ongoing technical audits, weekly reputation monitoring. ANSWERED +

With a standing cadence rather than a reaction. Three things run continuously, and none of them wait for a quarterly review:

WEEKLY

Persona visibility tracking

How each persona finds PSL across the four major engines, with content and structure adjusted to grow citation share.

ONGOING

Technical audits

Schema markup, structured data and site health, staying ahead of a landscape that changes faster than any certification cycle.

WEEKLY

Reputation monitoring

Google Business Profile and third-party review platforms, keeping community-level trust signals in check across all 54 markets.

THE POSTURE

Leave the heavy lifting to us. We invest in the tooling and the testing so PSL gets the finding, not the homework.

16 How do you keep abreast of changes in search, AEO, and social algorithms, and how do you communicate this to clients?Certifications and conferences — plus tooling that re-tests after every change. ANSWERED +

Certifications, peer learning, industry conferences and trainings — plus tooling that re-tests after every change, which is the part that actually catches algorithm shifts. We invest in continuous education because market changes outpace certification updates.

Communication is filtered, not forwarded. What matters to PSL reaches you as a recommendation with a next step and an owner; what doesn't, doesn't. You should not have to read an industry newsletter to know whether your program is exposed.

17 Describe your ongoing optimization and content-production process and cadence.Plan, create, QA, publish, measure, iterate. Calendarized weekly, monthly and quarterly. ANSWERED +
PLAN CREATE QA PUBLISH MEASURE ITERATE & OPTIMIZE

Three levels, one calendar. Content production supports brand-level, resource-driven and community-level needs across every platform, driven by the messaging-at-scale framework.

Push and pull. Calendarized planning based on weekly, monthly and quarterly pushes, combined with community-provided content arriving continuously.

Engagement decides what's next. Metrics inform iteration and optimization, so the calendar is rewritten by evidence rather than habit.

RFP QUESTIONS ANSWERED IN THIS CHAPTER

18 Describe how you build and operate a measurable lead-generation program, and how you would apply an AEO-first approach for PSL.Organic, AEO, paid and retargeting — with tagging and CRM writeback live before spend. ANSWERED +

The measured path above, built across organic, AEO, paid search, paid social and retargeting — with the tagging and CRM writeback in place before spend goes live, not after. AEO-first means the content that earns citations in AI answers is the same content that converts on the page, so one investment does both jobs.

Attribution and tracking that ties marketing spend to tours, move-ins and occupancy — not just leads.

Continuous testing of an AEO-first approach as discovery shifts from traditional search toward answer engines.

HubSpot-driven automation and lead scoring route the right leads to the right community team.

Dynamic landing pages, and reporting built around action items rather than static dashboards.

19 What is your approach to attribution and tying marketing efforts to tours, move-ins, and occupancy?Source captured at entry and carried to move-in. We name what is directional rather than dress it up. ANSWERED +

Source is captured at entry and carried the whole way: UTM and campaign parameters on digital, dynamic number insertion on calls, Further conversations tagged, and all of it written into Yardi so a tour and a move-in can be traced back to the channel that started them.

OccupancyIQ is where it comes together — inquiries, tours, move-ins and occupancy in one view, with cost per acquisition per community. We are candid about the limits: senior living decisions run for months and some influence is genuinely unmeasurable. So we report what is attributable, name what is directional, and never present the two as the same thing.

20
38
Examples of lead-generation results for comparable clients, and the most significant measurable result you have achieved.St. George Village: 910 leads after launch against 22 before, at $17 per lead. ANSWERED +

The three panels above are the answer, and the most significant is St. George Village: 910 leads after launch against 22 before, at a $17 average cost per lead, producing 27 move-in deposits.

How: we stopped treating the site as a brochure. Content was rebuilt around the questions families actually ask, structured so search and AI could both read it; tour scheduling was made available from every page rather than one contact form; and tracking was instrumented so the sales team could see which markets were producing. The lift came from removing friction and answering questions — not from a larger media budget. The same three moves are what we would run first for PSL.

22
24
How do you ensure accurate, real-time lead capture and attribution into the CRM? Describe your experience with nurture workflows and lead scoring.Real-time writeback, with synthetic tests and weekly reconciliation against Yardi. ANSWERED +

Capture and attribution (Q22). Every entry point writes to the CRM in real time with source intact — forms, CallRail calls by tracking number, Further conversations and chat. We monitor for failures rather than assuming success: scheduled synthetic submissions, duplicate detection and a weekly reconciliation between platform-reported conversions and what actually landed in Yardi.

Nurture and scoring (Q24). HubSpot-driven workflows built by care level and stage, so an adult child researching memory care does not receive independent living content. Scoring blends behavior — pages viewed, guides downloaded, call length and intent from conversation intelligence — with declared care need, and routes qualified leads to the right community team while the interest is still live.

25
26
Which call tracking platforms have you implemented? Describe your use of dynamic number insertion and call attribution back to campaigns and communities.CallRail for tracking and for listening — every call transcribed and analyzed. ANSWERED +

Beyond call volume. CallRail, for tracking and for listening.

TRACKING & ATTRIBUTION

CallRail deployed for both call tracking and conversation analytics. Multiple tracking numbers with dynamic number insertion support campaign attribution, location-specific reporting and MarTech integrations, and calls integrate directly into Yardi by source — so a community can see which campaign produced the phone ringing.

CONVERSATION INTELLIGENCE

Every call is automatically transcribed and analyzed, surfacing customer intent, recurring questions, lead quality and outcomes. That informs campaign optimization, sharper messaging and a deeper view of how prospects engage through their decision journey — and it is the single best source of the language families actually use.

35 Describe any media-buying partnerships or preferred ad placements, and how you ensure recommendations remain in the client's best interest. We buy direct, so no placement earns us more than another. ANSWERED +

Buy smart. Optimize constantly. Protect the budget. Deliver measurable results.

DIGITAL & PROGRAMMATIC

We buy direct through native platforms — DSPs, Meta, Google. Cutting out middle layers means greater transparency, stronger control and lower cost. Advanced geo-targeting, real-time smart bidding, conversion tracking and dynamic creative. Active management, not set-and-forget.

TRADITIONAL

We buy the networks and programming with the strongest concentration of your audience, planning TRPs by daypart and week so delivery follows strategy rather than ratings. National leverage and long-standing local relationships secure premium inventory at efficient CPPs with significant value added.

WHY YOU CAN TRUST THE ADVICE

We are platform agnostic and buy direct, so no placement earns us more than another. Every buy is reconciled and post-audited, and we report at a cadence and depth tailored to your KPIs. Recommendations follow the KPI, never a placement relationship — and any financial relationship we hold is disclosed in writing.

RFP QUESTIONS ANSWERED IN THIS CHAPTER

39 Describe your social media strategy, management, and optimization capabilities at both brand and community levels.Community pages stay unscripted; the strongest stories get curated upward on a fixed rhythm. ANSWERED +

Three stages, running continuously. The channel roles above define where things land; this defines how content gets there.

01 · COMMUNITY LEVEL

Authentic and unscripted

Every community keeps its own cadence of activities and events. Monthly prompts give activity directors clear guidance on what to spotlight and how it ties back to brand pillars.

02 · CURATION

Best of the best, elevated

The strongest human-interest stories are selected and elevated across the portfolio, built from short-form video and Reels made specifically for senior living storytelling.

03 · BRAND CHANNELS

Rhythm, never bursts

A consistent, planned posting rhythm turns curated stories into a growing library. Monthly reporting on engagement, reach and video performance feeds straight back into the plan and the prompts.

40 How would you grow our PSL YouTube channel? Describe your content and production approach.Repurpose what already resonates, organize it into series, publish on a cadence. ANSWERED +

01

Repurpose community footage

The best Reels and event coverage become longer-form videos, so growth builds on what is already resonating.

02

Recurring series

Resident spotlights, staff stories and community life diaries, so subscribers know what to expect.

03

Built for discovery

Titles, thumbnails, descriptions and playlists built around those series rather than one-off uploads.

04

Steady upload cadence

Weekly or biweekly — the same consistent rhythm applied across every channel.

41 Describe your approach to short-form video and Instagram and Facebook Reels for senior living storytelling. The UGC Capture Kit — four steps that turn a phone in a hallway into brand content. ANSWERED +

The material has to be real, which means it cannot all be shot by a crew. We equip communities to capture the moments as they happen, then handle the craft centrally. That is the UGC Capture Kit:

1 · Spot the moment

Milestone birthdays, resident stories, everyday moments worth sharing.

2 · Capture it simply

Horizontal video in good light, 15–60 seconds, natural sound.

3 · Get the OK

Confirm resident or family consent before recording or submitting.

4 · Submit in seconds

Scan the QR code or text the link and the clip uploads directly.

REVIEWED WEEKLY, CURATED FOR IMPACT — THE BEST MOMENTS MOVE INTO THE CONTENT CALENDAR AND UP TO BRAND CHANNELS

42
45
Describe your PR capabilities and how you would build national brand awareness. How would you use the Legacy Project, Faces of Phoenix and Veteran's photo series? The Legacy Project, Faces of Phoenix and the Veteran's series as an always-on story bank. ANSWERED +

Bringing your stories to a national stage — and treating them as an asset, not an event.

Awareness-driven storytelling connected to measurable performance. The Legacy Project, Faces of Phoenix and the Veteran's photo series become an always-on story bank — each asset tagged, rights-cleared and reused across social, press and community channels rather than published once and archived.

PRESS & MEDIA DISTRIBUTION

Resident stories become news that builds credibility and trust. Targeted distribution focuses coverage where it matters most, content is structured to perform for media outlets and AI search platforms alike, and performance is tracked with UTM-enabled links for clear attribution.

REPUTATION, VOICE & TRUST

Brand visibility and competitive performance monitored through share of voice and sentiment, AI-driven trend monitoring to stay ahead of changing conversations, rapid review responses with same-day negative alerts, and a submission portal so communities can feed us stories as they happen.

28
Which reputation and review management tools have you worked with? Describe experience integrating with senior living referral and listing networks.Birdeye, Reputation.com and Chatmeter, plus Google Business Profile at scale across 54 communities. IN PROGRESS +

Q27 · TRUST AT SCALE

Experience with Birdeye, Reputation.com and Chatmeter, plus Google Business Profile management at scale across all 54 communities. Review monitoring and response protocols run by community, with HIPAA-conscious, tone-calibrated responses to negative reviews and review content surfaced on community pages to build trust.

STILL TO ADD — Q28

Documented detail of our experience feeding data to senior living referral and listing networks — A Place for Mom, Caring.com and SeniorAdvisor — including how listings stay in sync with the structured content model.

Premium branded-storytelling experience and examples, launching and managing the BBC StoryWorks series, and media relations, thought leadership and crisis management.PSL's BBC StoryWorks film is the strongest unused asset here — the launch plan is in progress. IN PROGRESS +

We work with preferred partners and distribution networks to bring brand and community stories real engagement, and we have shaped premium storytelling campaigns before. PSL's already-produced BBC StoryWorks film is the strongest asset in this proposal that nobody is using yet.

STILL TO ADD

Named examples of premium branded-storytelling campaigns we have executed (Q43); a specific launch and management plan for the BBC StoryWorks article and videos — paid amplification, earned pitch targets, community activation and measurement (Q44); and our crisis and reputation management protocol including escalation paths and response SLAs (Q46).

CHAPTER SEVEN · ANALYTICS, REPORTING & INNOVATION

Insights, not just dashboards.

You asked for action items rather than the old way of sharing information. Every report we send leads with what to do next.

WE ALREADY RAN THIS ON PHOENIX SENIOR LIVING

We monitor what AI says about your brand.

Below is output from the AI-visibility analysis we ran on PSL. The tooling tracks AI search visibility, compares PSL to competitors, and suggests content to improve how PSL appears in AI-generated responses. Citations lists every domain an AI cited while answering. Conversations is the raw data — every prompt each persona asked, the answers generated, the brands recommended, and the citations behind them.

53
What AI insights, dashboards, analytics and reporting do you provide, and which tools and platforms do you use to measure performance?Analytics tied to leads, tours, move-ins and CPA, with an agentic reporting layer in beta. ANSWERED +

Analytics connected directly to leads, tours, move-ins, occupancy and cost per acquisition — the business outcomes, not the activity. We are actively developing and beta-testing an agentic layer that reports on the data rather than making you go find it, because you told us dashboards are not the answer.

WHAT YOU GET

Monthly performance reports plus real-time dashboard access — but the report leads with next steps and reallocation recommendations, not a metric dump. We can custom build to a preferred structure.

THE SHAPE OF AN INSIGHT

Every finding arrives as: what changed, why it matters to occupancy, what we recommend, who owns it, and by when. If a finding cannot be written that way, it is not ready to send.

50
51
What emerging tools, platforms or approaches would you recommend we pilot, and describe a time you piloted a new technology for a client.A HubSpot MQL test with Further, plus the agentic reporting layer. Named short-list in progress. IN PROGRESS +

We are glad to be the first mover with you — but only after a recommendation has been reasoned through and tested.

Candidates already on our list for PSL: a HubSpot MQL automation test scoped with Further for potential activation in Q4 2026 / Q1 2027, and the agentic reporting layer described above. Every recommendation is thoughtfully reasoned, tested and vetted before it scales, so PSL gets early-adopter advantage backed by measurable results rather than novelty.

STILL TO ADD

The named short-list of pilots with rationale and success criteria (Q50), and a written case of a technology we piloted for another client and its outcome (Q51).

54 Please provide an example of your current reporting package and the frequency you deliver it to current clients.Monthly reporting plus live dashboard access; the sample excerpt is still to be attached. IN PROGRESS +

Cadence today: monthly performance reporting, real-time dashboard access throughout, quarterly business reviews and annual planning. PSL already receives reporting from us under the current engagement.

STILL TO ADD

A sample reporting-package excerpt that opens with "what to do next" rather than metrics, so the committee can see the format rather than take our word for it.

BEHIND THEM

Specialists, not generalists stretched thin

Digital advertising, creative, web development, analytics, media and social — 50 people across two offices. The account team is your single point of contact; the specialists are who they pull in, and you never manage the handoff.

RFP QUESTIONS ANSWERED IN THIS CHAPTER

55 Provide an overview of the proposed day-to-day account service team.Abby, Cari and Lili — one contact, clear separation of roles, specialists behind them. ANSWERED +

The three people above, with clearly separated roles: Abby Nava as your primary day-to-day contact, Cari Ralston running coordination and QA, and Lili Peters holding executive oversight for strategy, QBRs and budget. Behind them sit specialists in digital advertising, creative, web development, analytics, media and social. You contact one person; we handle the routing.

56 Provide background and experience for each team member and describe their role.Roles are defined above; individual bios are being written for the formal submission. IN PROGRESS +

Roles are defined above. Individual background and tenure detail is being written for the formal submission rather than paraphrased here.

STILL TO ADD

Full bios for Abby, Cari and Lili plus the named specialist leads for web, media, analytics and PR who would sit on the PSL account.

57 Describe how you provide ongoing service, responsiveness, and day-to-day account management.Status meetings, QBRs, proactive recommendations and quick response times. ANSWERED +

Regular status meetings, strategic planning and quarterly business reviews — with annual planning that involves community, regional, investor and corporate teams.

Timely communication and quick response times. Responsiveness is part of our service model, not an add-on reserved for renewal season.

Proactive recommendations based on performance, market trends and priorities — we bring the finding to you rather than waiting to be asked.

Clear reporting focused on insights and actionable next steps, plus site visits, sponsorships and in-person presence across the portfolio.

CHAPTER NINE · TRANSITION, INVESTMENT & NEXT STEPS

The first 90 days, then the first year.

Benchmarks are set before the engagement begins, not after. Engagement begins 9/15/2026.

DAYS 1 — 30

Discovery and audit

Brand workshop, technical and AEO audit, CRM and integration review, baseline reporting set up.

DAYS 31 — 60

Build and align

Content architecture, schema and structured data build, campaign and creative development, team onboarding.

DAYS 61 — 90

Launch and optimize

Site and content launch, lead generation programs live, first performance review and the roadmap for year one.

MONTHS 6 & 12

What results look like

Clear benchmarks agreed before we start, reporting tied to leads, tours, move-ins and occupancy, and honest framing of what is realistic for an organization of your size.

RFP QUESTIONS ANSWERED IN THIS CHAPTER

58
59
Provide a conceptual program and rationale, including recommended priorities for the first 90 days and first year, plus a timeline and transition plan.Audit, then build, then launch. Nothing goes dark and we cut over per market. ANSWERED +

The 90-day plan above, with the rationale being sequence: audit before build, build before launch, and measurement in place before spend. The transition itself is designed so nothing goes dark.

Nothing goes dark. Current lead capture, tracking and campaigns keep running while the new architecture is built alongside them. We cut over per market, not all at once.

Accounts in PSL's name. Analytics properties, ad accounts, GBP access, CallRail numbers and connectors provisioned or transferred to PSL ownership in the first 30 days.

Further, in parallel. Integration scoping with Further's team runs alongside discovery so the conversational layer lands with the site, not after it.

One owner per workstream. Every item has a named owner on both sides and a date, reviewed in weekly status through day 90.

36
37
What typical results do clients see in the first 6 and 12 months, and what realistic lead generation, occupancy and recruitment expectations would you set for an organization like ours?Foundations and clean attribution by month six; compounding lead growth by twelve. ANSWERED +

FIRST 6 MONTHS

Technical and AEO foundations in place, clean attribution running end to end, measurable movement in citation share and local visibility, and early conversion-rate gains from UX and form work. This is the period where the reporting starts telling the truth.

FIRST 12 MONTHS

Qualified lead growth compounding, cost per move-in trending down, and a content engine producing without needing to be pushed.

Benchmarks get agreed before the engagement begins, not after.

We will not put a percentage on 54 communities before discovery — markets, occupancy positions and competitive sets differ too much for a single number to be honest. What we will commit to is setting per-market baselines and targets in the first 30 days, and being candid where the realistic answer is "hold occupancy" rather than "grow it."

60
61
What is your fee structure and compensation philosophy, and what is the process for ad dollars being spent per community?Integrated marketing fee plus scoped project components, itemized per community. ANSWERED +

TODAY

An established package

A flexible structure built around our integrated marketing fee, with project-based components scoped to match your priorities — plus a clear, itemized process for how ad dollars are allocated and spent per community.

TOMORROW

A fully integrated partner

AEO/SEO, paid media, content, PR and analytics under one roof, plus fractional CMO-level strategic support so PSL gains senior marketing leadership without adding headcount.

WHY NOW, NOT BEFORE

The existing engagement was scoped to a defined set of services. This RFP is the moment to formally expand that scope — not evidence we were holding back.

62 Please provide three (3) references. (Company, Name, Title, Phone, Email)Three references supplied with the complete package, each notified in advance. IN PROGRESS +

Three references — company, contact name, title, phone and email — will be provided as part of the complete proposal package, with each contact notified in advance so they are ready for your call.
